Terms and Conditions

 

By attending a session, you agree to the terms below. No signature is needed.

These terms apply to all clients. If the client is under 18, the parent/guardian is the one agreeing on their behalf.

1.Working Together 

By attending a session, you understand that you (or your child) are beginning Solution Focused Hypnotherapy and/or life coaching with Cambridge HypnoCoach.

  • Adult      clients agree to take part fully in the process.
  • Parents/guardians      agree to support their child’s attendance and engagement.

2. Cancellations & Missed Sessions

To keep sessions running smoothly for everyone:

  • Please      give at least 24 hours’ notice if you need to cancel or move a      session.
  • If      less than 24 hours’ notice is given, the full session fee is charged,      or the session is lost if part of a pre‑paid programme.
  • Repeated      missed or late‑cancelled sessions may mean we need to review whether      therapy/coaching can continue.

Attending a session confirms you accept this cancellation policy.

3. Between‑Session Activities

Solution Focused Hypnotherapy works best when you (or your child) take part in any suggested small positive activities (4P’s)  suggested between sessions. These help build momentum and make each session more effective. 

4. Understanding the Process

Before starting, the therapy process will be explained clearly. By attending, you understand that:

  • therapy      length is an estimate and may change
  • everyone      progresses differently
  • while      many people experience positive change, no therapist can guarantee      specific results

5. Confidentiality & Safeguarding

Your sessions are confidential, with the following exceptions:

  • if      there is a risk of harm to you, your child, or someone else
  • if      there is a legal or safeguarding requirement to share information

Notes are stored securely in line with GDPR and professional guidelines:

  • For      under‑18s, notes are kept until their 25th birthday.
  • For      adults, notes are kept for the required professional retention period.

For young clients:

  • Parents/guardians      may request to see the therapist’s DBS certificate.
  • General      themes may be shared with parents, but personal details stay confidential      unless there are safety concerns.

6. Online & In‑Person Sessions

Clients must attend sessions in a quiet, private space where they feel safe and won’t be interrupted. Clients must also be:

  • sober
  • alert
  • not      under the influence of alcohol or recreational drugs

If technology fails during an online session, we’ll make a reasonable attempt to continue or reschedule.

7. Fees & Programmes

  • All      sessions and programmes are paid in advance.
  • Pre‑paid      programmes are non‑refundable once started.
  • Missed      or late‑cancelled sessions within a programme are forfeited.
  • Completed      sessions are not refundable.

8. Communication & Data

Communication is used only for scheduling and essential therapeutic contact. When therapy ends, your contact details and previous messages will be deleted from the therapist’s phone in a timely manner. All data is handled according to GDPR.

9. Respectful Behaviour

A respectful, safe environment is essential. The therapist may end a session or therapeutic relationship if behaviour becomes inappropriate or unsafe.

10. Agreement Through Attendance

By attending any session with Cambridge HypnoCoach, you confirm that:

  • you      have read and understood these terms
  • you      have had the chance to ask questions
  • you      agree to the policies above
  • you      consent to therapy for yourself or your child

No signature is required. Attendance shows agreement.

A. Basic contact and booking details
Name, email, phone, billing address, preferred session times, and messages you send us (e.g., through web forms or email).

B. Coaching information
What you want from coaching, goals, notes you choose to share about challenges, actions, and session reflections.

C. Hypnotherapy information (may include health data)
Details you choose to share that relate to wellbeing (e.g., sleep, stress, anxiety, habits), session plans, and outcomes. This can be “special category” data (health), which needs extra protection and specific legal conditions to process. [ico.org.uk]

D. Website and cookies
IP address, device type, pages viewed, and cookie preferences. For non‑essential cookies (e.g., analytics), we only use them with your consent (see section 10). [ico.org.uk]

3) Why we use your information (purposes) and our legal bases

We only use your data when we have a valid reason (“lawful basis”). Different activities may rely on different bases. [ico.org.uk]


Purpose: To provide coaching/hypnotherapy services: 

What: Booking, delivering  sessions, taking notes, follow‑ups

Our legal basis: Contract (to provide what you asked for) or steps before contract (e.g., discovery call) [ico.org.uk]

 

Purpose: Handle “special category”  data (health‑related in hypnotherapy notes)

What: Understanding your goals and tailoring support

Our legal basis: Explicit consent (Article 9 UK GDPR).   We’ll ask you to agree clearly, and you can withdraw consent any time. Some  Article 9 conditions require extra safeguards. [ico.org.uk]

 

Purpose: Payments and invoicing

What: Processing fees, receipts, accounting

What: Appointment reminders,   essential updates about your sessions

What: News, offers, events

Purpose: Website analytics 

What: Understand site performance, improve content

Note on special category data: When we process health‑related information, we identify a lawful basis under Article 6 and a separate Article 9 condition (usually explicit consent). Mostly from you: contact forms, discovery calls, emails, and sessions. We don’t buy data lists.


5) Do we share your data?

8) How long we keep your data (retention)

We keep personal data only as long as needed for the purpose collected, including meeting legal, accounting, or reporting requirements, and then we delete or anonymise it. Typical periods:

  • Client records and notes: 7 years after last contact
  • Enquiries (no services taken): 12 months
  • Invoices/financial records: 6 years (to meet accounting/tax obligations)

We review retention regularly to ensure data isn’t kept longer than necessary, per UK GDPR’s storage limitation principle. [gov.uk]

You have rights over your personal data, including to: access, correct, erase, restrict or object, and data portability (in certain cases). You also have rights related to automated decisions and profiling (we don’t make automated decisions about clients). You can withdraw consent at any time where consent is our legal basis. Safeguarding Policy

  

1. Purpose of this Policy

This policy sets out my commitment to safeguarding the welfare of all clients, especially children and adults at risk, in line with UK law and statutory guidance.

2. Scope

This policy applies to all services provided by Tamsin Barker, Cambridge Hypnocoach, whether in person, online, or by telephone.

3. Legal Framework

This policy is informed by:

  • Children Act 1989 & 2004
  • Care Act 2014
  • Working Together to Safeguard Children (Statutory Guidance)
  • Keeping Children Safe in Education (where applicable)
  • Data Protection Act 2018 & UK GDPR

4. Commitment to Safeguarding

I am committed to:

  • Promoting a safe, respectful, and      supportive environment for all clients
  • Protecting clients from harm, abuse,      neglect, or exploitation
  • Acting promptly and appropriately if      safeguarding concerns arise

5. Definitions

  • Child: Anyone under the age of 18
  • Adult at Risk: A person aged 18+ who has care and      support needs and is unable to protect themselves from harm or      exploitation
  • Abuse: Can be physical, emotional, sexual, neglect, financial,      discriminatory, or organisational

6. Recognising Signs of Abuse

Abuse may include:

  • Physical – hitting, shaking, inappropriate      restraint
  • Emotional – threats, humiliation, controlling      behaviour
  • Sexual – unwanted sexual contact or exploitation
  • Neglect – failing to meet basic needs
  • Financial – theft, fraud, exploitation of      resources

7. Safeguarding Procedures

If I suspect a client is at risk of harm, I will:

  1. Ensure Immediate Safety – Ensure the client is safe in the      moment.
  2. Record Concerns – Document facts, not assumptions,      including dates, times, and what was said.
  3. Report – Contact the relevant authority:

· Children: Local Authority Designated Officer (LADO) via Local Safeguarding Children Partnership (LSCP)

· Adults: Local Authority Adult Safeguarding Team

· Emergency: Call 999 if there is immediate danger

· Non-Emergency Police: Call 101

  1. Ensure Confidentiality – I will share information only      with relevant professionals on a need-to-know basis.

8. Working with Children & Young People

  • I will gain written parental/guardian      consent is required before working with anyone under 18.
  • A responsible adult must be in a nearby      location, no further than 10 minutes away during sessions with minors      unless otherwise agreed. 
  • I hold an Enhanced DBS check and      renew it in line with best practice.

9. Professional Boundaries

  • Maintain clear, respectful, and      professional relationships at all times.
  • Avoid dual relationships that could      impair professional judgment or risk exploitation.

10. Training & Review

  • I will keep my safeguarding knowledge up      to date through regular training.
  • This policy will be reviewed annually or      sooner if legislation changes.
